AGNTPOOL Privacy Policy

Version 2.1 · Effective October 10, 2026

Contents

1.Who we are

This Privacy Policy ("Policy") explains how AGNTPOOL LLC ("AGNTPOOL," "we," "us," or "our") collects, uses, shares, retains, and protects information in connection with the website at agntpool.com, the web application at agntpool.ai, and any mobile application we publish (together, the "Platform").

AGNTPOOL provides marketplace technology and workflow only. It is not a brokerage and is not a party to any referral agreement. It does not set or negotiate referral fees, and does not collect, hold, process, disburse or receive any part of them. It does not guarantee payment or resolve disputes between brokerages. Software subscriptions are separate from brokerage compensation.

The Platform is intended for Texas real estate license holders and brokerage representatives who are at least 18 years old. Participating brokerages sign our Brokerage Participation and Authorization Agreement (the "Broker Authorization").

2.Information we collect

Information you provide. Your name, email address, phone number, profile photo, and time zone; your real estate license number, type, status, and expiration date; your MLS and association memberships and member IDs; your brokerage's name, license number, office address, and phone number; your sponsoring broker's name, license number, and contact details; the markets you serve; and how you heard about AGNTPOOL.

License information from public records. We check your license number against the public license records published by the Texas Real Estate Commission ("TREC"). We store your license details and sponsoring brokerage as listed in those records, and we repeat this check regularly while your account is open. Where those records differ from what you entered, we rely on the records.

Verification documents. To confirm that you are a licensed professional, we may ask you to upload a copy of your real estate license and a government-issued photo ID. Brokerage representatives may also be asked for brokerage documentation. When we review an ID, we keep a record of what the review confirmed, but not your date of birth or any part of the document number. We delete the ID image after verification, as described under "How long we keep information." We also record verification decisions, the reasons for them, and who made them.

Brokerage information. If you act for a brokerage, we collect the brokerage's name, license number, office address, phone number, logo, and primary contact details; the members you add; and any update requests you submit, including attachments. We also obtain the brokerage's legal name, license status, expiration date, and designated broker from TREC's records.

Referral activity. Opportunities you post or claim and their terms; the referral agreements and Broker Authorizations you sign; progress updates and messages; and closed-transaction reports, including sale and compensation details.

Signature records. When you accept terms or sign a referral agreement or Broker Authorization, we record your typed name, the document and its version, the exact text you accepted, the date and time, your IP address, and your browser and device information (the "user agent"). We store a PDF of each signed document. These records may be included with the signed document that is provided to the other party and to each party's brokerage.

Notifications. Your notification preferences; a push notification token, if you turn on push notifications; and a log of the notifications and emails we send you, including their contents.

Support requests. Messages, bug reports, and screenshots you send us.

Technical information. Sign-in and sign-out events, error reports, and the approximate time of activity.

Website analytics. Our hosting provider measures traffic to our public website for us, including visits, pages viewed, the referring website, device type, approximate country (estimated from your browser's time zone, not your IP address), and visit length. We receive these measurements only in aggregate, and they are not linked to your account.

Children. The Platform is not directed to children, and we do not knowingly collect information from anyone under 18. If you believe a minor has given us information, please contact us, and we will delete it.

3.Cookies

Our website uses two first-party cookies, which are set on our own domain and are not read by other websites. One is an analytics cookie that lets us count browsing sessions; it expires after 30 minutes and is not linked to your account. The other is needed by our hosting provider to route your requests correctly. The web application also uses a cookie to keep you signed in.

We do not use advertising cookies, tracking pixels, or device fingerprinting, and we do not track you across other websites. You can block cookies in your browser settings, but parts of the website or app may not work without them.

4.Prospect information

When posting a referral, an agent may submit information about the prospect being referred (a "Prospect"), such as the Prospect's contact details, communication preferences, and notes, which may include accessibility needs. Prospects do not have accounts on the Platform. When posting, agents confirm that they have the Prospect's permission to share this information for the referral.

Prospect information is not shown publicly or to other users. Once a referral is agreed, it is shared only with the agent who accepts the referral and with the brokerages involved. Authorized AGNTPOOL administrators may also access it for support and compliance.

We never sell Prospect information or use it for marketing. We use it only to administer the referral it was submitted for, to provide support, and to comply with the law. Prospects may contact us to learn what information we hold about them, to correct it, or to request its deletion, subject to the retention periods below.

5.How we use information

We use information to:

  • Verify licenses, brokerage affiliations, and identity, including by checking TREC's public records when you sign up and regularly afterward
  • Run the marketplace, including administering referrals, the agreements behind them, and messages between the agents involved
  • Apply the automated license and authorization check described below
  • Keep signature, audit, and compliance records
  • Send service notifications by email, in-app message, and push notification
  • Provide support and investigate bug reports
  • Understand how people use our website, using aggregate measurements only
  • Protect the Platform, prevent misuse, and enforce our Terms of Use
  • Meet legal, regulatory, and licensing obligations

6.Automated license and authorization check

We use an automated check to confirm that agents can post and claim. It compares your license record at TREC, and the brokerage TREC lists as your sponsor, against the Broker Authorizations we hold. If your license is not active, or your sponsoring brokerage has not signed a Broker Authorization, your ability to post and claim is paused. No person reviews this before it takes effect.

A pause does not close your account or affect referrals already in progress. Your access is restored automatically once your license is active again or your sponsoring brokerage signs a Broker Authorization. The check relies only on TREC's public records and signed Broker Authorizations; it does not score, rank, or predict anything about you.

If you believe a pause is wrong, email support@agntpool.com, and an administrator will review it. If the check cannot match your license number, it does not pause posting and claiming; an administrator reviews the record instead.

7.How we share information

We share information only as described in this section.

With other participants. Once both parties accept a referral agreement, we share the information needed to administer that referral with the other party and with each party's brokerage, including the signature records described above. Your name, brokerage, and verification status are visible to other verified users.

With your brokerage. Your brokerage's authorized representatives can see your referral activity that involves the brokerage. They are also told, with the reason, when your posting and claiming are paused or restored, because your sponsoring broker supervises your licensed activity. We send this notice only to the brokerage TREC lists as your sponsor.

With service providers. We use service providers to host the Platform, store data, measure website traffic, and send email. They process information only on our instructions and are contractually required to protect it to at least the standard in this Policy. Push notifications are delivered through the service run by your device or browser maker, such as Apple, Google, or Mozilla, under that company's own terms.

For legal reasons. We may disclose information when required by law, subpoena, or court order; to a real estate licensing authority in a licensing matter; or to protect the rights, safety, or property of AGNTPOOL, our users, or the public.

In a business transfer. If AGNTPOOL is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, and it remains subject to this Policy.

We never sell personal information, and we do not share it for targeted advertising.

8.How long we keep information

InformationHow long we keep it

Sign-in and error logsUp to 12 months
Website analyticsAggregate measurements only, up to 24 months

When a retention period ends, we delete or de-identify the information.

9.Your choices and rights

Access and correction. You can review and update most of your information in the app, or contact us for anything else. License information from TREC can be corrected only by TREC; once TREC updates its record, our next check will reflect the change.

Notifications. You can change your email and push notification preferences in your profile settings, and you can revoke push permission in your device or browser settings. Some notices cannot be turned off, such as notices about verification decisions, your license, and pauses to your posting and claiming.

Deleting your account. You can delete your account at any time from your profile settings in the app, or by emailing support@agntpool.com from the address on your account. If you are the receiving agent on a referral that is still in progress, you will need to release it first. Any open opportunities you have posted are withdrawn when your account is deleted. If you manage a brokerage account, your request is sent to our team to complete, because closing it affects the agents covered by your brokerage's Broker Authorization. When your account is deleted, we close it immediately and delete your personal information within 30 days, except for information that "How long we keep information" lists as kept longer, which we keep for the period stated there.

Withdrawing consent. Where we rely on your consent, such as for push notifications, you can withdraw it at any time. Withdrawing consent does not affect processing that happened before you withdrew it.

Your privacy rights. Depending on where you live, you may have the right to confirm whether we process your personal data; to access, correct, or delete it; to receive a portable copy; and to opt out of the sale of personal data, targeted advertising, or profiling. We do not sell personal data, use it for targeted advertising, or engage in profiling. The automated check described above compares your license and sponsoring brokerage against public records and signed Broker Authorizations; it does not evaluate or predict anything about you. To exercise a right, contact us using the details below. We will respond within 45 days. If we decline your request, you may appeal by replying to our response. If your appeal is denied, you may contact the Texas Attorney General or your state's attorney general.

Verifying requests. We verify your identity before acting on a request, usually by confirming that you control the email address on your account. An authorized agent may make a request on your behalf with your written permission.

We will not discriminate against you for exercising any of these rights.

10.Security

We protect information with administrative, technical, and organizational safeguards appropriate to its sensitivity, including encryption in transit, access controls, and limited administrator access. Prospect information and signed documents are available only to the parties to the referral, their brokerages, and authorized AGNTPOOL administrators. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11.Where information is processed

AGNTPOOL and its service providers store and process information in the United States.

13.Changes to this Policy

When we make material changes, we will publish a new version with a new effective date and ask you to accept it in the app where required. If you continue to use the Platform after the effective date, you accept the updated Policy.
